From quote to invoice
This page follows a single order all the way through, so you can see how the parts of Customry One fit together. Each step links to the full guide.
An order is one sale from start to finish. It keeps one number whether it’s an enquiry, a quote or an order, and everything that happens to it is on the sale: deliveries, invoices, documents and history.
1. Quote
Section titled “1. Quote”In Sales, select New quote and choose the customer. Add lines from the product list below them, or with Add product. Prices come from the customer’s price lists and special prices, so you rarely need to type one.
Select Send to email the quotation as a PDF. Sending keeps a frozen copy, called a revision, so you always know exactly what the customer saw.
→ Quotes and orders · Revisions · Sending documents
2. Order
Section titled “2. Order”When the customer says yes, select Confirm order. The sale becomes an order and stock is set aside for it. Send the order acknowledgement the same way you sent the quote.
If something is short, Buy for this order under More raises what’s needed from your suppliers.
→ Quotes and orders · Buying for an order
3. Despatch
Section titled “3. Despatch”Confirmed orders appear in Despatch → To despatch. Plan a delivery for everything, or for just what’s ready, and the rest stays to follow.
The warehouse picks it from a printed pick list or on screen, then selects Despatch. That books the stock out and keeps the delivery note.
→ To despatch · Picking · Despatching
4. Invoice
Section titled “4. Invoice”Despatched orders appear in Invoicing → To invoice. Start the invoices, check the drafts and select Issue. Issuing gives each invoice its number and keeps its PDF, ready to email.
If the customer is billed at a head office, their orders go to the parent account, and several orders can go on one invoice.
→ To invoice · Invoices and credit notes · Head office billing
5. Accounts
Section titled “5. Accounts”In Invoicing → Finance export, make a batch of issued invoices and credit notes and import it into Sage 50. Each invoice is marked as transferred, so nothing goes twice.
