Sending documents

Customry One makes your documents as PDFs in your company’s branding, and emails them straight from the record. Every document is kept exactly as it went.

The same Send button works on sales, deliveries, invoices, proformas and purchase orders.

  1. On the record, select Send.
  2. Check who it goes to. Copy to adds more addresses; separate several with commas.
  3. Select Preview to see the PDF, if you want to.
  4. Select Send.

On a sale, sending saves a revision first, so you can always see exactly what was sent. If nothing has changed since the last revision, that’s what goes.

On an invoice, the button reads Send… until the first email and Re-send after. Re-send repeats the last email in one click.

The Send menu also lets you download the PDF or preview it without emailing anyone.

The Documents tab on a sale lists every PDF kept for it: when it went and who to. Open one to see it, or send it again.

Invoices, proformas and delivery notes keep the PDF made when they were issued or despatched, and that’s what is attached whenever you send them.

Logos, colours, layout and the wording of the emails are set by an administrator. See Branding and documents.

A kit prints as one line. Whether its components print under it is a sales setting, and each sale can choose for itself with Components on documents on its Details tab. See Components on documents.

A configured item prints the same way: one line with its description, quantity and price. Its notes always print under it; its other parts follow the same setting, without prices. See What prints.

When configured items have references (such as D01), quotations, order acknowledgements, proformas, delivery notes, invoices and credit notes print a Reference column. A document where no line has a reference leaves the column out, so it looks as it always has.

Quotations and order acknowledgements also print the schedule: a table for each family of configured items, with each item’s reference, your printed schedule fields (such as the location) and the family’s schedule columns. By default it starts on landscape pages after the totals. It’s only printed when an item has something to show, and costs and margins never print. To print the schedule on its own, select Send → Print schedule on the sale. See Printing the schedule.
